Inbound demo qualification

Open

Hi prospect name, thanks for making time -- this is your name from company name. Before I show you anything, I want to understand what brought you in, so I only demo the parts that matter to you. What prompted you to look?

Situation

  • Walk me through how your team handles this today. What are you using now, current tool or something else?
  • How many people touch this process, and how often?

Pain and goals

  • Where does it break down or slow you down most -- is pain point the main driver?
  • If this were solved, what would change for you in the next quarter?

Close

That is really helpful. Based on what you have shared, the next step is next step, and I will follow up by timeframe with anything you need. What questions do you have about how we would fit?

1

Inbound demo qualification

When to use: Use this on the first call after someone requests a demo or signs up.

2

Founder-to-founder early adopter discovery

When to use: Use this on a first call with a lean startup weighing whether to spend at all.

Open

Hi prospect name, this is your name from company name. I run a startup too, so I will not waste your time with a heavy pitch. I would rather understand where you are and whether this is even worth your spend right now. Fair?

Situation and stage

  • What stage is the team at -- stage, and how lean are you running?
  • Is this a problem you are actively spending on, or working around for now?

Priorities

  • Of everything on your plate, where does priority rank this quarter?
  • What would have to be true for solving this to jump up the list?

Close

Appreciate the honesty. If the timing is not right, I will say so myself. If it is, the next step is next step, and I will follow up by timeframe. What matters most to you before we go further?

3

Product-qualified lead discovery

When to use: Use this when a trial user is engaged and you want to understand fit and expansion.

Open

Hi prospect name, this is your name from company name. I noticed you have been getting into the product, which is great. I wanted to understand what you are trying to get done, so I can actually be useful rather than just check in. Good time?

Understand the job

  • What made you sign up in the first place -- what is the goal you are chasing?
  • Walk me through your use case. What have you set up so far?

Fit and expansion

  • Is this just for you, or would the wider team use it too?
  • What is missing that would make this a clear yes for you?

Close

That helps me point you in the right direction. The next step is next step, and I will follow up by timeframe. Is there anything blocking you in the product right now that I can clear up?

4

Buying committee discovery

When to use: Use this when a deal involves several stakeholders and you need to map the decision.

Open

Hi prospect name, thanks for the time -- this is your name from company name. To make sure I bring you something useful and not just a generic quote, I want to understand how a decision like this gets made on your side. Can we walk through it?

Authority and process

  • Besides you, who else weighs in, and who is the decision maker that signs off?
  • What does your approval process usually look like end to end?

Budget and timeline

  • Is there budget set aside for this, or would it need to be found?
  • What is driving the timing -- is there a date you are working back from?

Close

That gives me what I need to make this easy for everyone involved. The next step is next step, and I will follow up by timeframe. Who else should I make sure is in the loop?

5

Competitor-switch discovery

When to use: Use this when the prospect has an incumbent and you want to understand the gaps.

Open

Hi prospect name, this is your name from company name. I know you already use current tool, so I am not going to pretend you are starting from scratch. I would just like to understand what is and is not working. Open to a few questions?

Understand the current state

  • What does current tool do well for you today? Credit where it is due.
  • Where does it fall short -- is gap the thing that keeps coming up?

Cost of the gap

  • How much does that gap actually cost you in time or missed outcomes?
  • What has stopped you from switching before now?

Close

Really useful, thank you. If it turns out we are not a better fit, I will tell you. If we are, the next step is next step, and I will follow up by timeframe. What would you need to see to take it seriously?

6

Stalled deal re-engagement discovery

When to use: Use this when a promising deal stalls and you want to understand what changed.

Open

Hi prospect name, it is your name from company name. We got as far as last step and then things went quiet, which is completely normal -- priorities move. I wanted to check in before I close the loop on my end. No pressure at all.

Understand what changed

  • Has something shifted on your side -- a change in budget, timing, or priorities?
  • Is this still a problem worth solving this quarter, or has it moved down the list?

Make it easy

  • If the timing is off, would a later conversation be more useful?
  • If it is simply not for you, just say the word and I will stop following up.

Close

Whatever the answer, I would rather know than guess. If it is still live, the next step is next step. If I do not hear back by timeframe, I will assume the timing is wrong and leave it with you.

Frequently asked questions

Can I use these templates commercially?
Yes. Copy, edit, and use them in your business, client work, CRM, help desk, or sem.chat workspace.
Why are there six variants?
One generic template rarely fits every situation. Six variants give your team practical choices without a messy library.
Should I paste these into sem.chat?
Yes. Save the best variants as canned replies, knowledge base entries, routing rules, or CRM notes so your AI agent and team stay consistent.
What is a startup discovery call?
A consultative call to qualify a SaaS or startup buyer: their situation, their pain, their goals, and their budget, authority, and timeline, before any demo or proposal. The point is to learn whether and how you can help, not to pitch. Good discovery decides what you demo and to whom.
How is a discovery call different from a demo?
Discovery is questions first, to learn what problem the buyer actually has and whether you fit. A demo shows the product. Running the demo before discovery means you show everything and land nothing; discovery tells you which two or three things to show and why they matter to this buyer.
What is BANT and should I still use it?
BANT stands for budget, authority, need, and timeline. It is a useful checklist for mapping a deal, especially one with a buying committee. Just ask it conversationally rather than as an interrogation -- weave the questions into a real dialogue so the buyer feels understood, not processed.
How do I qualify a product-qualified lead?
A product-qualified lead is already active in a trial or free plan, so ask what job they hired the product to do, whether the wider team would use it, and what is missing before you mention an upgrade. Their in-product behavior is your best signal; build the conversation on the goal behind it.
